So...what do you do all day at weddings, anyway?

Some venues require a Day of Coordinator. Some venues suggest a coordinator. Some couples just REALIZE that outsourcing help on their big day is the best and easiest way to remain stress-free!


Think of your Day of Coordinator as this behind the scenes fairy that ensures everything is executed as you envisioned it!



Example timeline of a day of coordinator:


12pm- Arrive at the venue, greet the couple, help the couple with loading in of decor boxes

12pm- Introduce self to Venue Manager. Double check floorplan, run through timeline, verify A/V and ceremony sound

12pm- Greet photographer and videographer as they arrive, brief run through of important moments

12:30pm- Set linens

12:30pm- Begin to set decor provided by the couple, including centerpieces, ceremony decor, card box, welcome signs, etc!

1pm- Greet florist and decor vendors as they arrive, direct them to ceremony and reception for set up, assist as needed


1pm- Pin boutonnières, florist to deliver bouquets for first look

2pm- Greet and direct catering and bar service (if not in house). Verify timeline, floorplan, dinner service logistics, etc. Assist as needed.

3pm- Greet DJ, direct DJ to their booth

3:30pm- Run through timeline, ceremony cues, list of important songs and announcements with DJ

4pm- Wedding party should be back from photos and hidden!

4pm- Walk through duties of the ushers, greet and seat guests as they arrive

4:20pm- Line up wedding party, verify cues with DJ

4:30pm- Ceremony time! Cue wedding party down the aisle, stand in the back and cry...

5pm- Direct guests to reception space

5pm- Either flip the room from ceremony to reception, or put finishing touches on reception decor

5:30pm- Move gifts to a secure space

5:30pm- Assist catering with clearing trash as needed, verify they're on schedule

6pm- Seat guests for dinner

6:15pm- Get microphone to head table for welcome and speeches

6:30pm- Assist with clearing trash as catering does their magic with food service!

7pm- Set desserts

7:15pm- Get speeches rocking!

7:30pm- Round up couple + photographer to cut cake

8pm- DJ to announce first dances! Verify first dance songs.

8-11pm- It's all DJ to keep the party going! Clearing trash, packing up ceremony decor

11pm-12am- Pack up all decor that was brought in by the couple, answer vendor load-out questions, ensure the space is tidy before leaving, pack decor and gifts in couple's car, take out trash

Next day- Donate floral and food as needed!


Now...do you really want your mom and sister handling all this?
